Call tracking for service businesses: How to know which ads make the phone ring

Many service businesses get most of their leads by phone and then judge their ads on form fills alone. Call tracking closes that gap.

Ask a plumber or an HVAC company how most customers get in touch and the answer is usually the phone. Then look at their Google Ads account, and the only conversion being tracked is a contact form.

That gap matters. It makes the ads look worse than they are, and it means automated bidding is learning from a small, unrepresentative slice of your leads.

How call tracking works

There are three common approaches:

  1. Call extensions and call ads in Google Ads. Google can use a forwarding number and record calls that last longer than a length you choose as call conversions.
  2. Website call tracking. A script on your site swaps the displayed number depending on how the visitor arrived. Google Ads offers this for Google traffic; dedicated call tracking tools do it for every source.
  3. Static tracking numbers. A unique number for a specific placement, such as your Google Business Profile, a van wrap or a print ad.

All three forward calls to your normal phone. The customer notices nothing.

What to track

  • Source and campaign for every call.
  • Duration. Very short calls are often wrong numbers or spam. Set a minimum length for a call to count as a conversion.
  • Answered or missed. Missed calls are lost money. See what missed calls cost.
  • Outcome. Did the call become a booked job? This is what you send back to the ad platforms.
  • First-time vs repeat callers. Existing customers calling about an invoice are not new leads.

What recordings teach you

Most call tracking tools can record calls, with a disclosure message where required by law. Listening to ten calls a month tells you:

  • Whether callers found what they expected from the ad
  • Which questions come up every time, and belong on the landing page
  • How your team handles pricing questions and objections
  • Whether the leads are the kind of jobs you want

Check the law

Call recording rules vary by country and US state, and some require consent from everyone on the call. Use a recorded disclosure and check the requirements for where you and your callers are.

Connecting calls to your ad platforms

Once calls are tracked with a source, you can import qualified calls back into Google Ads and, through the Conversions API, into Meta. This lets bidding learn which searches and audiences produce real jobs. Read offline conversion tracking for the full process.

Illustrative example

These numbers are invented to show the effect.

A campaign reports 20 form leads a month at $150 each. Call tracking shows it also produced 45 calls over 60 seconds. Real leads: 65. Real cost per lead: about $46. Without call tracking, the campaign would have been cut.

Where to start

At minimum, turn on call conversions in Google Ads and add a tracked number to your Google Business Profile. If phone is your main channel, add a call tracking tool with dynamic numbers on your website.

Call tracking is included in our lead generation systems. If you are not sure what your ads really produce, a free audit will show you.

Questions owners ask

Does call tracking hurt local SEO?

Using a tracking number on your Google Business Profile is supported when set up correctly: put the tracking number as the primary number and your main number as an additional number. Keep your main number consistent elsewhere.

What is a good minimum call length?

Many service businesses start at 60 seconds. Adjust based on what your recordings show a real enquiry sounds like.

Do I need a separate call tracking tool?

Not always. Google Ads call conversions cover Google traffic. A dedicated tool helps when you advertise on several channels or want recordings and outcomes in one place.

What is call tracking?

Call tracking shows which ad, keyword or page made someone call you. It usually works by showing a different forwarding number for each source and recording which number was dialed, along with details such as call length. Calls still ring through to your normal phone.

How much does call tracking cost for a small business?

Dedicated call tracking tools usually charge a monthly fee plus costs per tracking number and per minute, and most offer small-business plans. Google Ads can also track calls from ads, and from your website in supported countries, using Google forwarding numbers at no extra charge. That is a sensible place to start before paying for a tool.
