Lead Generation

A lead follow-up sequence for service businesses that do not have a sales team

Most leads that go quiet are not lost. They are busy. A short, structured follow-up routine recovers a surprising share of them.

A lot of service businesses call a new lead once. If nobody answers, they leave a voicemail and wait. When nothing comes back, the lead is marked "no answer" and forgotten.

That lead was paid for. With a simple routine, a meaningful share of them can still become jobs.

Why one attempt is not enough

People fill in forms at work, in the car, or late at night. When you call, they may be in a meeting, driving or asleep. Some do not answer unknown numbers. None of that means they are not interested.

A follow-up sequence you can run without a sales team

This is a starting point for a lead that has not been reached. Adjust timings for urgent services.

When Channel What
Within 5 minutes Call First attempt. If no answer, leave a short voicemail.
Straight after Text Introduce yourself and say you will try again.
1 to 2 hours later Call Second attempt.
Next morning Call + text Different time of day.
Day 3 Email Summary of what they asked about and how to book.
Day 5 Call Final call attempt.
Day 7 Text Close the loop politely.

What to say

Keep every message short, and use your name and the service they asked about.

First text:
"Hi Sarah, this is Tom from Clearflow Plumbing. You asked about a water heater replacement. I just tried calling. I will try again shortly, or reply with a good time."

Day 3 email:
A short note that repeats what they asked for, explains the next step (for example a free assessment), and gives a direct booking link or phone number.

Final text:
"Hi Sarah, Tom from Clearflow again. I do not want to keep bothering you, so this is my last message about the water heater. If you still need help, just reply and I will call."

That last message often gets a reply.

Respect the rules

Text and email marketing is regulated. In the US, rules such as the TCPA apply to texts and calls; in Europe, GDPR and national rules apply. Make sure you have consent to contact people, identify your business, and stop when asked.

Make it happen automatically

You do not need to remember every step. Most CRMs and many field service tools can:

  • Send the first text automatically when a lead arrives
  • Create call tasks at set intervals
  • Send the day 3 email and final text on a schedule
  • Stop the sequence as soon as the lead replies or books

Even a shared calendar with reminders works when you are starting out.

Measure it

Record which attempt reached each lead. After a month you will know how many jobs came from attempts two to seven, which is the value of the sequence. Track contact rate by lead source as well: Facebook leads often need more attempts than Google leads.

Illustrative example

These numbers are invented to show the effect.

A company reaches 50% of leads on the first call. After adding the sequence above, it reaches 72%. On 80 leads a month with a 35% booking rate on reached leads, that is about 6 extra jobs a month with no extra ad spend.

Questions owners ask

How many times should I follow up with a lead?

Around five to seven attempts over about a week, across calls, texts and email, is a reasonable starting point. Stop sooner if they ask you to.

Is texting leads allowed?

It can be, with the right consent and disclosures. Rules differ by country and state, so check what applies to you.

What do I do with leads that never reply?

Move them to a low-frequency list, such as a seasonal email, with an easy way to opt out. Some will come back when the need becomes urgent.

How soon should you follow up with a new lead?

Within five minutes if you can, and certainly the same working day. The first attempt matters most. After that, spread further calls and texts over the next week rather than giving up after one voicemail. See speed to lead for ways to respond faster without hiring.
