## The short version

- Most callers who reach voicemail do not leave a message. Many call the next business instead.
- A missed call from an ad is a lead you have already paid for.
- Calculate the cost with four numbers: missed calls per month, share that were real new leads, your booking rate, and average job profit.
- Fixes range from simple call forwarding and callback texts to answering services.

Most service businesses underestimate how many calls they miss. The phone rings while the owner is on a ladder, the office is at lunch, or it is 7pm on a Sunday. By the time someone calls back, the customer has booked someone else.

## Why callers do not wait

Someone calling a plumber, electrician or HVAC company usually has a problem now. When they hit voicemail, calling the next result on Google takes a few seconds. A message leaves them waiting and unsure. So many simply hang up and try again elsewhere.

## Work out what missed calls cost you

You need four numbers:

1. **Missed calls per month.** Your phone system or [call tracking](https://leadwisemarketing.com/blog/call-tracking-service-business/) will show this.
2. **Share that were real new leads.** Exclude spam and existing customers. If you are not sure, listen back to a sample or estimate conservatively.
3. **Your booking rate** on calls you do answer.
4. **Average gross profit per job.**

> Monthly cost of missed calls = missed calls × share that are new leads × booking rate × gross profit per job

**Illustrative example:**

These numbers are invented to show the calculation.

A business misses 40 calls a month. Half are real new leads (20). It books 40% of answered leads, so it might have booked 8 of those. At $600 gross profit per job, that is $4,800 a month in lost profit, before counting repeat work or referrals.

Paid ads make it worse. If a call from Google cost you $40 in clicks, a missed call is $40 spent with nothing to show for it.

## Ways to answer more calls

- **Call forwarding and ring groups.** Ring several phones at once, or forward to a second person after a few rings.
- **Missed call text-back.** An automatic text that says "Sorry we missed you, this is ABC Electrical. We will call you back within 15 minutes, or reply here with what you need." Many phone systems and CRMs can do this.
- **Answering service.** Trained staff answer in your business name, take details and book appointments. Often cheaper than the jobs you lose.
- **Schedule ads to match staffing.** If nobody can answer after 8pm, consider lowering bids or pausing call-only ads then, while keeping forms available.
- **Callback discipline.** Assign someone to return every missed call within 15 minutes during working hours.

## Does missed call text back work?

Missed call text back sends an automatic text to anyone whose call goes unanswered, for example: "Sorry we missed your call, this is Smith Plumbing. Reply with what you need and we will call you back within 15 minutes." Many call tracking tools and business phone systems offer it.

It works well as a safety net. A caller who gets a text straight away knows you saw the call, and many will reply instead of dialing the next company on the list. It also captures what they need, so the callback starts with the right information.

It does not replace answering the phone. Someone with water coming through the ceiling still wants a person, so treat the text as a way to hold the lead for minutes, not hours, and only promise a callback time you can keep.

Two practical points. Keep the text about their enquiry, not a promotion. And check the texting rules where you operate before switching it on: in the US, business texting providers usually require you to register before messages are delivered reliably.

## Missed calls and your ad platforms

Missed calls also affect performance directly. [Local Services Ads](https://leadwisemarketing.com/blog/local-services-ads-vs-google-ads/) consider responsiveness, and a business that misses calls can show less often. And every unanswered call is a lost chance to feed a real outcome back to Google or Meta.

## Where to start

Check your phone records for last month and count the missed calls. Then run the calculation above. For most businesses, the number is large enough to justify an answering service or callback system straight away. See also [speed to lead](https://leadwisemarketing.com/blog/speed-to-lead/).

## Questions owners ask

### How many customers leave a voicemail?

Fewer than most owners expect, especially for urgent jobs. It is safer to assume a missed call is a lost lead unless you call back quickly.

### Is an answering service worth it for a small trade business?

Often, yes. Compare its monthly cost with the profit from the jobs you would book if every call were answered.

### Should I turn off call ads when I cannot answer?

If nobody can answer, reduce or pause call-focused ads at those times and let forms and text-back handle the rest.

### What is missed call text back?

It is an automatic text message sent to a caller when their call goes unanswered, so they know you saw it and can reply with what they need. It keeps the enquiry alive while you are on a job, as long as someone follows up quickly.
